Data Collection
We collect contact and shipment information you provide when requesting our services. This includes name, email address, phone number, company name, and shipment details necessary to prepare and submit your AES/EEI filing.
We also collect usage information automatically when you visit our site, including IP address, browser type, pages visited, and referring URL.
Use of Information
We use information you provide to deliver AES/EEI filing services, issue ITN numbers, communicate filing status and updates, maintain records required by law, and respond to inquiries. We do not use your information for advertising or sell it to third parties.
Use of Google reCAPTCHA
AES-Filing.com uses Google reCAPTCHA v3 on our contact forms and filing submission pages to protect against automated abuse, bots, and fraudulent submissions. reCAPTCHA v3 is a risk analysis engine developed by Google that runs silently in the background without requiring user interaction.
When you interact with forms protected by reCAPTCHA v3, Google collects certain information including your hardware and software attributes, mouse movements, keyboard interactions, and behavioral patterns. This data is transmitted to Google's servers and analyzed to determine the likelihood that you are a legitimate user rather than an automated system.
The personal information collected by reCAPTCHA v3 is subject to Google's Privacy Policy and Terms of Service. Google's collection and use of this data is governed by Google's own privacy controls and data processing practices, which are separate from AES-Filing.com's privacy practices.
You may opt out of reCAPTCHA data collection through Google's privacy and security settings at myaccount.google.com.
Google Analytics
AES-Filing.com uses Google Analytics 4 to collect anonymized usage data and understand how visitors interact with our website. This helps us improve our service, identify technical issues, and optimize the user experience.
Through Google Analytics, we collect information including the pages you visit, how long you spend on each page, your browser type and version, your device type and operating system, your approximate geographic location (city-level), and the source from which you reached our site.
All data is aggregated and anonymized. IP addresses are processed with anonymization enabled. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-Out Browser Add-on.
Email Communications
When you submit information through our contact form or request filing services, your email address and contact details are processed by a third-party email service provider for the purpose of sending transactional communications.
Transactional communications include filing submission confirmations, status updates, ITN delivery notifications, and other service-related messages. We do not send unsolicited marketing emails. Any promotional communications will only be sent with your explicit prior consent. All emails include clear unsubscribe instructions.
Sharing of Information
We share your data only with the following parties: U.S. Customs and Border Protection and the U.S. Census Bureau (as required to complete AES/EEI filings), a third-party email delivery provider, Google (for reCAPTCHA and Analytics as described above), and legal authorities when required by law. We do not sell personal information to third parties.
Data Retention
Contact Form Data: Information submitted through our contact form is retained for up to 24 months, then securely deleted.
Filing Submission Data: Information related to AES/EEI filings is retained for a minimum of 5 years in accordance with export compliance requirements under the Export Administration Regulations (EAR) (15 CFR Part 30) and U.S. Customs and Border Protection regulations.
Right to Request Deletion: You may request deletion of personal data that is not subject to regulatory retention requirements by contacting us. We will respond within 30 days where legally permissible.
Security
We use reasonable technical and organizational safeguards to protect submitted information, including encrypted connections (HTTPS) and access controls. No method of transmission over the internet is 100% secure. We cannot guarantee absolute security but take reasonable measures to protect your data.
California Consumer Privacy Rights (CCPA)
If you are a California resident, you have certain rights under the California Consumer Privacy Act (CCPA) regarding your personal information.
- Right to Know: You may request information about the personal data we collect, use, and share.
- Right to Delete: You may request deletion of personal information we have collected, except where retention is required by law or regulation.
